Compliance
EU ePrivacy Directive 2002/58/EC, GDPR Art. 6 & Recital 32, UK GDPR, UK PECR 2003, and Pakistan PECA 2016. Non-essential cookies are used only with prior, informed, freely given consent where required by law.
What Are Cookies
Cookies are small text files placed on your device when you visit botvee.ai. They enable core functionality, remember preferences, and help us understand usage. Some are strictly necessary; others are optional and require consent before being placed. This Policy covers cookies on botvee.ai and, separately, cookies used by the Botvee chat widget when embedded on a customer's website (Section 5).
Cookie Categories and Legal Basis
| Category | Purpose | Consent? | Legal Basis | Retention |
|---|---|---|---|---|
| Essential | Login sessions, authentication, security (CSRF), load balancing, consent storage | No — always active | Legitimate interests / ePrivacy "strictly necessary" | Session or up to 30 days |
| Analytics | Aggregated/anonymised usage, traffic source | Yes | Consent (GDPR Art. 6(1)(a); ePrivacy Art. 5(3)) | Up to 26 months |
| Functional | Language, dashboard layout, saved settings | Yes | Consent (Art. 6(1)(a)) | Up to 12 months |
| Marketing | Retargeting/relevant ads (if used) | Yes — explicit | Consent (Art. 6(1)(a)) | Up to 12 months |
| Referral / affiliate | Attributing sign-ups to a Partner Program referral link | Yes (non-essential) | Consent (Art. 6(1)(a)) | Until you clear your browser's site data |
The Partner Program uses a referral identifier to attribute a sign-up to the partner whose link was used. It holds only that partner's code — nothing about you — and is not shared with any third party or used to follow you to other sites.
What is in use today. The categories above are the full framework. In practice botvee.ai currently sets only Essential items and, where you arrive through a partner link, the Referral identifier. We do not currently run any analytics, advertising, retargeting, or session-recording technology, and we do not track you across other websites. Those rows are listed so the framework is complete; if we ever switch one on, this page is updated first.
Cookies vs. local storage. Most of what Botvee keeps is local storage, not cookies. It does the same job, but unlike a cookie it has no built-in expiry — it stays until you clear your browser's site data for botvee.ai (Section 4). The named items are: botvee-theme (light/dark choice), botvee.tweaks (affiliate dashboard display settings), and botvee_ref (the partner referral code). Your sign-in session is a genuine cookie.
Cookie Consent and Preferences
Where non-essential cookies are used, we obtain consent as required by law and provide controls to accept, refuse, or change your cookie preferences. You can change or withdraw your preferences at any time; changes take effect promptly, and withdrawing analytics/functional consent does not affect core functionality. Where we record consent, that record is retained as compliance evidence.
Browser-Level Control
Clearing "site data" (rather than only "cookies") for botvee.ai removes cookies and local storage together — which matters, because most of what we keep is local storage:
- Chrome / Edge: Settings → Privacy and security → Third-party cookies → See all site data and permissions → search "botvee.ai" → Delete
- Firefox: Settings → Privacy & Security → Cookies and Site Data → Manage Data → search "botvee.ai" → Remove Selected
- Safari: Settings → Privacy → Manage Website Data → search "botvee.ai" → Remove
Removing the sign-in session will simply sign you out. Blocking cookies for botvee.ai entirely will prevent you from signing in.
The Botvee Widget on Customer Websites
When a customer embeds the Botvee chat widget on their own website, it keeps information in that visitor's browser, on that customer's own domain. The widget sets no cookies — it uses local storage only, and nothing it stores is shared with other Botvee customers or used across different websites. What it keeps:
| What | Name | Why |
|---|---|---|
| Session and visitor identifiers | bv_session_…, bv_visitor_… | Keeps one conversation together and recognises a returning visitor, so the chat continues instead of starting over. |
| Conversation state | bv_conv_status_…, bv_human_mode_…, bv_msg_count_… | Remembers whether a chat is open, whether a human agent has taken over, and how many messages have been exchanged. |
| Contact details the visitor typed | bv_lead_name_…, bv_lead_email_…, bv_lead_phone_… | If the visitor gives their name, email, or phone number in the chat, those values stay in their own browser so the form is not shown to them again. |
| Form and prompt state | bv_lead_submitted_…, bv_fb_…, bv_bk_…, bv_issue_reported_… | Records that a lead form, feedback rating, booking request, or issue report was already submitted, so the visitor is not asked twice. |
If you are a Botvee customer, this part is yours to disclose
The widget runs on your website, so you are the one who must disclose these technologies in your own cookie notice and obtain any consent your local law requires. Note in particular that the widget stores a visitor's name, email address, and phone number in their own browser once they provide them. You may copy the table above into your own notice.
Third-Party Cookies
Two third-party resources load on our public pages. Neither is used by us to track you, but each means your browser contacts another company's server, which reveals your IP address to it:
- Trustpilot — the script that renders our review rating. Trustpilot may set its own cookies under its own policy; we do not control them and receive no personal data from it.
- Google Fonts — the Poppins typeface is loaded from Google's font servers. No cookie is set, but Google receives the request.
Our hosting/CDN and payment providers may also set strictly necessary cookies for security and fraud prevention as part of delivering the page or a payment. Any analytics or marketing providers used are disclosed through our cookie controls. See also our Sub-Processors list.
Children
Non-essential and marketing cookies are not knowingly placed in sessions where the user is known to be a minor under applicable law.
Updates
Material changes to our cookie categories or practices will be reflected here and, where required, prompt a fresh consent request. The "Effective date" reflects the latest revision.
